030 Tony's Tips // Order Split After Confirmation

Hi All, Tony here from CartonCloud with Tony's Tips

Today, we were going through some processes and workflows and bits and pieces on how we bring things into the warehouse. Everybody does something slightly different, and I just wanted to show you, Vincent, our CEO, said, "Look, this is the way I do it. And I think it's a really good tip and it's a really good way to do it."

So what I'm going to do is I'm going to go to the warehouse and I'm going to bring in a purchase order. So I'm going to add a purchase order for Bob's groceries. And I'm going to say it arrived today. And I'm going to put in my customer reference, order number, and I'm going to scroll on down and I'm going to save. So then, what I'm going to do is I'm going to come into products and I'm going to add a product. And I'm going to come in here and I'm going to put in my Van Slootens, which is a liquorice.

And anyway, so we come on down here and I've got some custom fields in here, but I'm going to bring in 20 pallets. Now, when you bring in 20 pallets, you need to do the bulk split if you've got the conversion set up into your system. So, let me show you what I mean. I'm just going to save with that one, because it's a full load coming in, and I'm going to come in here and I'm going to hit approve. I'm going to say yes, no problems, and then I'm going to update the status to received. Yes, thank you very much. And while it's thinking, we then got verified purchase order products.

So, what we would actually do is, it pops up with this big red, "you're potentially undercharging storage," and generally what everybody does then is they come over to the left hand side and they go more and they split. But, the way it should actually be done is you should actually confirm the total quantity first. So, if we confirm this total quantity of 20 pallets, as you can see here, it's telling me that there's 48,000 units. So, I'm going to tick that, and then I'm going to come over and I'm going to do my bulk split. And for these ones, we're going to put them into a bulk location. So, I'm going to say bulk bin. It's telling me that it's one pallet equals 2,400. So, I then go and I hit bulk split, and what it actually does is it has confirmed and ticked every single pallet, and put them all into the bulk bin.

So previously, we would come in here and a lot of people would do the bulk split, and then they would put in, or they might even fill out the bulk bin, but then they ticked every single button. And being honest, I was one of those who was doing it.

So then when you go in, we don't need to go through any of the extra bits and pieces. We just come in, we hit complete verification, we can fill out any ad hoc charges if there is. And what was a long process previously when I was going through, once you've got the process down pat, it's actually really, really simple.

So, like I said, if you go in and you confirm before you do the bulk split, it will make sure that everything you split is actually already confirmed.
